Watermark PDF meaning: what it is and when to use one
In one line: a watermark is faint text printed over or across each page, so that everyone who sees the page also sees the message. It says who owns the document, what state it is in, or who it was given to.
You would watermark a PDF document when you send a quotation that is not final, share notes you wrote, or give a bank or landlord a copy of your ID. The words travel with every page, even when someone prints one sheet or takes a screenshot.
What is a watermark in a PDF, and what is a PDF stamp?
A watermark in a PDF is a faint text layer laid over the page content, usually at an angle and usually on every page. A PDF stamp is the same idea with a different look: a short, solid word such as PAID or RECEIVED placed in one corner, at full strength, like a rubber stamp. Layout and position
Once per page places a single line of text. You can put it in the centre, or at the top left, top centre, top right, bottom left, bottom centre or bottom right. Repeated across the page tiles your text in a brick pattern from edge to edge. Tiling is the safer choice for ID copies and paid content, because no part of the page can be cropped out clean.
Angle, size, opacity and colour
Angle runs from 0 to 90 degrees. A centred or tiled watermark follows the angle you set, and 45 degrees is the classic diagonal. Text placed in a corner or along an edge stays level so that it reads like a header. Size goes from 10% to 100%, where 100% gives very large lettering meant for a single short word. Opacity goes from 5% to 100%.
A good starting point: 25% opacity over text pages, 40 to 50% over photos and dark scans, 100% only for small corner stamps. Red and grey are the usual colours, but the colour picker lets you match your brand. The text is set in a bold sans-serif font, so it stays readable when faint.
Add a watermark to all pages, or only some PDF pages
By default the tool will add the watermark to the PDF on all pages. You can also watermark PDF pages selectively. Odd pages and Even pages help with double-sided printing. Pages I choose takes a list such as 2-10, handy for a clean cover and a marked body. To number the pages as well, add page numbers to the PDF afterwards.
Can you watermark a PDF with an image or logo?
Not with this tool yet. It makes text watermarks only, and the text must use Latin letters, numbers and common symbols for now, so Hindi, Arabic or Chinese characters are not supported here. Many people want a logo on the page, though, so here is an honest workaround.
Watermark PDF image workaround
Open your file in the PDF editor, press Image, pick your logo as a PNG or JPG, then drag and resize it on the page. That puts your logo on the pages that matter most, such as the first page of a quotation. It is placed page by page at full strength, so lighten the logo in an image app first if it should sit quietly behind the content.
Stamp PDF online: PAID, APPROVED, RECEIVED
A stamp is just a small watermark with strong colour. To stamp a PDF online free, type the word, choose Once per page, pick Top right, set Size near 30% and Opacity at 100%, and choose red or blue. If you only have the PDF, watermark it here. When you later convert a PDF to Word, the watermark usually comes along as ordinary text on each page and can be deleted there.
So a watermark is a visible notice, not a lock. It deters casual copying, but a determined person with a full PDF editor can remove it. To block opening, protect the PDF with a password. To hide sensitive numbers for good, redact the PDF. A tiled watermark plus a password is the best way to watermark a PDF that really matters.
