Excel to PDF: how to fit in one page
Columns cut off and pushed onto a second page is the number one complaint. To fit an Excel sheet on one PDF page, open the Page Layout tab, find Scale to Fit and set Width to 1 page. Leave Height on Automatic for a long list, so it flows down over several pages at full width, or set Height to 1 page too if everything must sit on a single sheet. Save the file and upload it. The same steps work for any XLS, XLSX or ODS workbook.
Excel to PDF in landscape mode
Wide tables with many columns suit a sideways page. How to get Excel to PDF in landscape: go to Page Layout, Orientation, Landscape, then save. Orientation is stored per sheet, so a workbook can mix an upright cover sheet with landscape data sheets, and the PDF will follow each one.
Excel to PDF too small to read?
If you squeeze forty columns onto one upright A4 page, the text becomes tiny. When the PDF comes out too small, give the content more room instead of more shrinking. Switch to landscape, set narrow margins, hide the columns the reader does not need, or fit to one page wide but let the rows run on to more pages. For very wide sheets, choose A3 as the paper size.
Gridlines, tables, formulas, notes and dates in the PDF

Excel to PDF with lines and with table borders
The pale grey gridlines you see on screen do not print by default, so they are not in the PDF either. To get the lines in your PDF, open Page Layout and tick Print under Gridlines, or select your data and apply All Borders. Borders you add yourself always show. If you formatted the range as an Excel table with banded rows, the table styling carries over, header colours and all.
What happens to Excel formulas in the PDF
A PDF shows results, not workings. Every formula appears as its calculated value, for example 18,450 and not =SUM(B2:B14). This is usually what you want, because a client sees the total and not your pricing logic. If the reader needs to work with the formulas, send the spreadsheet as well.
Excel to PDF without changing date format
Some date formats in Excel, the ones marked with a star in the Format Cells list, follow the regional settings of whichever computer opens the file. Our server may not share your region, so 14-03-2025 could come out as 3/14/25. To stop the date format changing, select the date cells, open Format Cells, choose Custom and type a fixed pattern such as dd-mm-yyyy. The date then stays the same everywhere.
Excel cell notes and comments in the PDF
Excel notes and comments, the little red or purple markers in a cell corner, are not printed unless you ask. So by default your PDF shows the cells without the notes. To include them, open Page Setup, go to the Sheet tab and set Comments and notes to At end of sheet or As displayed on sheet, then save. Keep them hidden when you send a quotation, because a note like 'raise this price next year' is not meant for the customer.

Excel to PDF not working? Fix cut-off columns and page breaks
When the PDF looks wrong, the file is nearly always fine and the print settings are the culprit. The fixes below take a minute each, and you do them in your spreadsheet program before uploading.
Convert Excel to PDF without cutting off columns
Columns that disappear off the right edge, or land on their own page at the end, mean the sheet is wider than the paper. To convert Excel to PDF without cutting anything off, use Fit to 1 page wide, or switch to landscape, or narrow the margins. Also check the print area: if someone once set one, cells outside it are left out of the PDF. Page Layout, Print Area, Clear Print Area resets it.
Excel to PDF without page breaks in the wrong place
Excel breaks pages wherever the paper runs out, which can cut a table between a heading and its rows. Open View, Page Break Preview and drag the blue lines to where a break makes sense. To get Excel to PDF without page breaks at all for a short list, set both Width and Height under Scale to Fit to 1 page. Repeat a header row on every page with Page Layout, Print Titles, so long tables stay readable.
Excel to PDF not working at all
If the conversion fails or the PDF comes back empty, check three things. A password-protected workbook cannot be opened by the converter, so remove the password and save first. A file over 100 MB is refused; delete unused sheets or old data and try again. And an empty print area gives an empty PDF, so clear the print area as described above. A sheet with only pictures converts fine, but a sheet that is fully hidden is skipped.
After converting: combine, shrink, lock, edit or reuse
Got twelve monthly reports? Convert them together, unzip the result and join them into one document with merge PDF. If a portal has an upload limit, compress the PDF and type the limit as your target size. Salary slips and financial statements deserve a lock, so add a password to the PDF before emailing.
