Excel to PDF too small to read?

If you squeeze forty columns onto one upright A4 page, the text becomes tiny. When the PDF comes out too small, give the content more room instead of more shrinking. Switch to landscape, set narrow margins, hide the columns the reader does not need, or fit to one page wide but let the rows run on to more pages. For very wide sheets, choose A3 as the paper size.

Gridlines, tables, formulas, notes and dates in the PDF

The pale grey gridlines you see on screen do not print by default, so they are not in the PDF either. What happens to Excel formulas in the PDF

A PDF shows results, not workings. Every formula appears as its calculated value, for example 18,450 and not =SUM(B2:B14). This is usually what you want, because a client sees the total and not your pricing logic. If the reader needs to work with the formulas, send the spreadsheet as well.

Excel to PDF without changing date format

Some date formats in Excel, the ones marked with a star in the Format Cells list, follow the regional settings of whichever computer opens the file. Our server may not share your region, so 14-03-2025 could come out as 3/14/25. To stop the date format changing, select the date cells, open Format Cells, choose Custom and type a fixed pattern such as dd-mm-yyyy. The date then stays the same everywhere.

Excel cell notes and comments in the PDF

Excel notes and comments, the little red or purple markers in a cell corner, are not printed unless you ask. So by default your PDF shows the cells without the notes. To include them, open Page Setup, go to the Sheet tab and set Comments and notes to At end of sheet or As displayed on sheet, then save. Keep them hidden when you send a quotation, because a note like 'raise this price next year' is not meant for the customer.

Columns that disappear off the right edge, or land on their own page at the end, mean the sheet is wider than the paper.
